We are recruiting for a Maintenance Service Contracts Administrator will be responsible for supporting all activities related to the operations of the Maintenance Service (MS) department from the administration point of view and working together with the Contracts Managers. Keep the Head of Maintenance Services informed about any potential issues/issues related to the department which might affect plant performance/production. Assist the department in ensuring maximum production, plant availability and optimization of O&M costs.
Duties & Responsibilities
Creation of purchase requisitions (PR), purchase orders (PO) and service entry sheets (SES) on SAP.
Update and monitor the contract payment trackers. Ensure that all invoices are processed on EGP Finance tool (OIP) and that suppliers are paid on time. Raise tickets and follow-up on outstanding payments.
Attend AFC weekly meetings and support the whole O&M department in following up on outstanding invoices/SES’s which might have been raised during the meetings.
Ensure that all PO’s and SES are created on/by the 25th of each Month and that all invoices are received from the suppliers before the end of each month.
Assist Contracts Managers to prepare procurement tender packages for all procurement contracts and ensure that the all documents are properly filed on EGP SA’ documentation management system.
Ensure proper filing of all contractual documents on EGP SA’ documentation management system e.g. Contracts, Monthly reports, Contract amendment documents, Invoices, Board resolution.
Support the head of Maintenance Services in planning activities related to maintenance services department (events, meetings, trainings etc).
Support the OMI department in monitoring Maintenance Services KPIs e.g. use of Delegated Purchase, Supplier Performance Management, Needs Planning on Smart Planning tool follow-up with relevant stakeholders on critical items to ensure compliance.
Execute any other activities that are required by the Department’s Heads (O&M, OMI, Solar/Wind etc).
Support and work to improve and preserve the good working environment at office and plant sites.
Desired Experience & Qualification
Diploma in Administration or equivalent.
Valid Driver’s License.
Knowledge and experiences:
Computer packages knowledge.
Experience in the electrical industry will be an advantage.
Experience in contracts management will be an advantage.
SAP experience and knowledge or use of similar tools is a must.
Experience working in Operation & Maintenance of power plants will be an advantage.
