OVERVIEW OF ROLE:
A Shipping Costing Administrator plays a pivotal role in ensuring the smooth controls from costings to documentation and liaising with suppliers and carriers. The Shipping Costing Administrator maintains meticulous records, ensures compliance with regulations, and addresses any issues that may arise during the shipping process. Attention to detail, strong organizational skills, and the ability to communicate effectively with internal and external stakeholders are essential for success in this role.
KEY RESPONSIBILITIES:
• Calculate the landed cost of shipments and ensure accuracy in cost allocation.
• Compare the quantity and identification numbers of received goods against corresponding orders to ensure accuracy.
• Maintain comprehensive files of shipping records for reference and audit purposes.
• Trace missing or lost shipments and take necessary actions to resolve issues.
• Authenticate the receipt of shipments by matching bills of lading, invoices, or other relevant documents.
• Record and report shortages and damaged merchandise, ensuring proper documentation and resolution.
• Route products to appropriate sites and attach identifying information and delivery instructions on containers.
• Organize and maintain accurate records of goods shipped.
• Compile thorough documentation and detailed instructions essential for customs clearance procedures, ensuring accuracy for seamless processing of shipments across international borders
• Liaise with clearing agents, suppliers, and carriers to coordinate shipments and address any queries or issues.
• Stay updated on the latest developments at regulatory bodies such as SARS, tariff shipping costs, and ensure compliance with relevant regulations.
• Prepare and understand costing per product per shipment, analysing cost factors and identifying areas for optimization.
• Monitor containers docking at the port to process costings before delivery to the warehouses, ensuring timely and efficient handling.
• Maintain spreadsheets with details of SAPS/NRCS stops and demurrage charges received, ensuring accuracy and accessibility of information.
• Provide timely responses to supplier queries and provide delivery instructions for direct deliveries to customers, ensuring high levels of customer satisfaction.
• Ensure emails related to shipping are attended to promptly and efficiently.
• Collaborate with the warehouse to ensure timely completion of costings, thereby preventing any backlog in warehouse operations.
• Identify areas for cost savings or process improvements and implement strategies to optimize shipping operations while maintaining service levels.
COMPETENCIES REQUIRED:
• Fluent in English
• A minimum of 2 years’ experience working in shipping/logistic or a related field
• The preferred applicant should have a Diploma in supply chain, Logistics, or shipping.
• Solid analytical skills with high attention to detail.
• Extremely well organised, self-disciplined and deadline driven.
• Self-motivated.
• Ability to effectively communicate to all levels of the organisation.
• Willingness to work in a team environment.
• Handle multiple activities simultaneously and ensure accurate and timely completion of tasks.
• Proficient user of Microsoft Office Tools: Excel (Advanced), PowerPoint, and Word.
• Sage experience will be an advantage.
