SUMMARY
Our client, a frontrunner in the mining and quarrying sector, seeks to hire an Executive Assistant to the Chairman, a High Net-Worth Individual and a prominent figure in South Africa’s business landscape. This role involves overseeing a busy schedule, organizing travel arrangements, handling office management responsibilities, and addressing various administrative tasks as needed. The ideal candidate should possess strong attention to detail, a proactive attitude, professionalism, and adaptability.
RESPONSIBILITIES
Management of complex and moving agendas and diaries
Travel management – Work through an agency for Private Charter
Management and drafting of mail and correspondence
Organization of internal and external meetings
Ordering of stationary and office supplies
Setting up meetings with ministers, ambassadors, Kings, Religious Leaders and high-level industry players
Filing of files and documentation
Maintain a proper message system, handling the receipt, and distribution of incoming and outgoing mail emails
Diary coordination and updating of the electronic diary
Professional management of internal and external requests
Coordination of crisis-management process
Attend to internal and external VIP guests and other visitors at the office
Handling of personal errands
Liaison and co-ordinator between his security, external stakeholders and Chairman
MINIMUM REQUIREMENTS
Must have a Degree
5 – 10 years experience in an assistant position, with senior-level stakeholders
Own car and valid driver’s license
Exceptional level of English & Afrikaans
Perfect mastery of Microsoft Office, Word functions and calendar management
