A. On the administrative level 1) Prepare service contracts with third parties; 2) Ensure the proper maintenance and classification of correspondence and other documents in the Organization's archives; 3) Calculate staff salaries; 4) Write all correspondence requested by the Director; 5) Update the inventories of goods acquired by the Organization; 6) Maintain the file of inventories of goods and stocks; 7) Keep the keys of the buildings made available to the Organization; 8) Produce any other work requested by the hierarchy. B. On the financial level 1) Allocate or validate all the accounting entries before entering them into the various journals of the accounting software; 2) Develop, in collaboration with the Program Coordinator and the Executive Director, the budgets for projects and programs and the functioning of the Organization; 3) Ensure budget monitoring and produce the budget monitoring table and other financial statements to present to the Executive Director for guidance; 4) Ensure compliance with expenditure commitment procedures; 5) Calculate the salaries and the monthly payroll of the staff based on the time sheet approved by the Executive Director; 6) Ensure the declaration and payment of the various professional taxes; 7) Prepare the living expenses and the mission order for people who go on a mission; 8) Check the mission statements and the conformity of the supporting documents of the receipts and all the expenses; 9) Control the cash registers every month and reconcile the cash accounts with the statements received from the bank; 10) Responsible for compliance with all procedures of the network and external donors; 11) Prepare, welcome and actively collaborate with external auditors. C. Staff management 1) Maintain personnel files and ensure a good filing system; 2) Maintain the administrative database which provides information on the identity and professional life of all employees of the Organization; 3) Give an advisory opinion on any sanction to be imposed on any worker to minimize the risk of social conflicts and especially legal proceedings based on labor regulations and administrative regulations in force within the Organization; 4) Participate with professionalism in the following administrative activities: hiring, drawing up work contracts and pay slips, drafting promotion or sanction notes, updating work contracts, monitoring leave and absences , termination of employment contracts…; 5) Ensure the development and monitoring of service provider contracts; 6) Manage relations with the Labor Inspectorate, the ONEM, the INSS, the Directorate of Taxes, medical institutions on the administrative situation of workers; 7) Ensure compliance with the regulations and laws in force in the Democratic Republic of Congo in matters of personnel management; 8) Check that the time sheets of each staff are correctly filled in with the actual arrival and departure times and submit them to the Executive Director for approval at the end of the month;
